FYI, the final deadline for CfP is 12th of August and IMHO we should not extend it as it is in-person events and we owe potential speakers info about the proposal status as soon as possible. Would be awesome to have schedule at the end of August.

I see, so we still have another 2 weeks! (I thought the final deadline was this Friday july 29, so good to know what's really going on 😂)

FYI all, should we vote again this year about whether we are keeping our votes anonymous too? (Last year, the community voted against voting publicly so I was thinking we prob need to vote on this again for 2022 Conference.)

At this point, I will be DM'ing each CfP review volunteer in slack to retrieve their votes.

I will be sending a DM that askes for a vote on...

• whether we should keep our CfP votes public or anonymous
• whether the volunteer reviewers should have access to see speaker name, gender, and company

This voting on those 2 points matters because we must be vigilant and admit how biases affect our voting.

Volunteers have access to see the speaker's name - YES. If it's okay, I'd like to see different genders participate and support diversity from different communities, and countries.

That said, I'm happy to cooperate and work with anything we decide as a group.

I’ve reviewed scholarship proposals on linklings. I like how my conference talk got selected and I could see the reviewers feedback. They had 3 reviewers and a drop down for Strongly Agree, Agree etc and the reviews helped me understand why the talk was chosen and what they’d like as more content. If we could make that happen for our CFP process that would be great:D The reviewers were anonymous, I only saw some weird alphanumeric ID to distinguish the reviewers

@meenakshi-dhanani Yes, I understand how it can feel nice to see feedback for your talk. 😄 That said, we are voting because the purpose of this is to be aware of your/our personal biases.

Biases affect CfP voting processes and individuals have to asses if they can honestly say they would have NO BIAS at all by having access to the speaker's name, gender, and company.

As you can imagine... what I am trying to get to here is showing you that bias happens to us all. And that is why we need to be vigilant and make sure we create a process that helps eliminate bias while voting.

To give you an example of how I am choosing to admit my bias, I will NOT be voting for this CfPs this year, only spearheading the process to get it done. Why? Because I personally helped my GSoD interns write/edit their CfPs. This already makes me biased toward wanting to vote for their talks. Thus, I admit my personal bias and remove myself from the voting this year.

Hopefully now you can see how much bias matters and why it's not so simple to vote on whether to make our votes public or not 😂

Here is a sample template schedule that shows us an idea of how many talks we might be able to fit in our 3-Day conference.

In this example, we would be able to host 30 talks. (keep in mind this is only 1 example)

I love the fact the schedule starts at 10.00 AM. As mentioned in our last meeting, people from Barcelona won't attend a conf that starts earlier than, let's say, 9:00 AM. Shops usually open at 10.00 AM so... 👍
In relation to that, I would like to suggest we move the lunch break to 12.30 PM or 1:00 PM; in fact lunch in Spain usually starts at 1:00 PM.

Hey all! A few more updates...

CfP votes are in and I am going to be contacting our speakers this week to confirm details!

1. If you're following the Conference venue discussion here, you may have found out that it looks like 2022 will be another online conference. Neither our community nor LF has been able to find a physical venue location for our dates selected, so we are now realizing that we need to look for a venue a year ahead vs only a few months ahead. Because we're going to have to be online again this year, this means each speaker will be recording their talk and sending it to us before the conference. (we're going to play each video sent so speakers need to record their talks ahead of time)
2. Speakers MUST record their presentations at least 2 weeks before the event.
3. Speakers will join the online event, like we did last year; they show up before and after presentation to answer questions.
4. Keep in mind that if your talk is scheduled for Day 3, that falls on Saturday.

I don't know if this is intentional, but my talk about AsyncAPI and SDLC is now gone from Day 3 (previously 1pm)

@jessemenning that's correct, speakers have not yet been contacted until the final schedule was done. (we had to move a lot around once we realized it was going to be online again this year and in UTC timezones) Not all talks were accepted and not all talks got a high vote count. You can always submit again next year :)

There were some changes to the schedule shared by @alequetzalli :

• I had to change hours of some talks because of time zones of speakers
• Florence communicated she will deliver only one talk, from both approved. Looking on previous schedules from @alequetzalli I assumed first in backup list was @jessemenning with his talk, so I talked to him and he is now on the schedule

Other thank that, looks good.

One open question is Jonas. @jonaslagoni is on holidays, and I could not confirm if we will deliver 2 talks he committed to or not. Let's see.

I already sent email to LF to create schedule for us. Looks like we will be able to open registration next week

+1 on starting at 12 for timezone compatibility. Here in Mexico the conference would be starting at 3am. 5 am is not ideal, but you catch a lot more of the conference.
