Properly Be Out of Office (OOO)

Michael Helmbrecht edited this page Jul 11, 2017 · 3 revisions

Follow this process when you will be OOO (Out of Office) for vacation, doc appointments, working remotely from home, or out of town on business.

1. Ask for approval from your manager

This can be done via email or Slack.

NOTE: Managers will do their best to grant PTO time as requested, but cannot be guaranteed. Subject to projects, deadlines, and if others are already scheduled to be out of the office.

2. Block the off the time on TARDIS

WHAT: Create a calendar invite on the TARDIS calendar for when you will not be at Civic Hall. (Weds WFH are exempt from this.)

In the title write your name, colon (:), followed by the status. If you are traveling for work, put the location.

Examples:

  • Tim: Vacation
  • Michael: WFH
  • Laura: OOO (With L.A. in the location)

WHEN: Mark vacation, full-day WFH, and travel days as “All Day” events. If you are going to the doctor, keep the event to the times you will not be working.

STATUS: Set the status of your invite to FREE. This will keep it from clobbering other people's calendars.

REACHABILITY (Optional): If you are working in an area of low internet/service, please note this in the location.
