Ongoing Costs

  • MeetUp.com: ~$20/month
  • Pizza and beverages: ~$130/month (approx. $4 per person/month). Provided until mid-2017, courtesy of CartoDB. Please see the Pizza wiki site for more information.
  • Plates, napkins, cups, and silverware: ~$5/month
  • Stickers: ~$150/year (last ordered: Summer 2016, $125 for 200 stickers)

How to Accept Sponsors

If we want to accept donations from members and sponsors, the MeetUp organizer needs so set up a WePay account (on MeetUp).

Once this is set up, we can add a button on the site that lets members chip-in whatever amount they choose. We can also direct sponsors to this link for sponsoring a single meetup or 6 months of meetup fees ($90).

Add a Sponsor to MeetUp

To display a sponsor on our MeetUp site, we can easily add them in. We need to add in the following content:

  • Their name/organization name,
  • What they helped contribute towards,
  • Their website (if applicable), and
  • Their logo (if applicable).

Sponsorship Request Template (Note: This section is still a work in progress)

Include the following information in the request:

  • Sponsorship request text (e.g. why we need sponsors, the benefits of being a sponsor, etc.).
  • Our follow-up process for sponsorship (e.g. Recognition: logo on MeetUp site, slide at future events, etc.).
  • Once the sponsorship is confirmed, provide a means on how to submit their logo to us (also provide a turn-around date so they have expectations on when to expect to see their logo go live).
  • Provide a way for sponsors to receive evidence of their sponsorship for tax purposes.
